Administrative Support for Healthcare Practices
Scheduling, reminders and general enquiry handling — strictly non-clinical, strictly administrative.
What we usually hear
Front-desk staff are answering the phone while patients wait in front of them. Appointment reminders do not get made, no-show rates climb, and the schedule leaks revenue every week.
Where a crew fits
A dedicated crew handles scheduling calls, reminders and general enquiries as administrative support, so your front desk can focus on the people physically in the practice.

What agents will not do
Being explicit about the boundary protects you as much as us. These limits are written into the script before a single conversation happens.
- This is non-clinical administrative support only. Agents do not give medical advice, triage symptoms or discuss clinical matters.
- We do not claim HIPAA certification, and no such certification exists as a general credential. Any handling of protected health information requires a specific written agreement, appropriate safeguards and — where applicable — a business associate agreement. Do not assume our standard engagement covers it.
- Discuss what information agents may access before onboarding, and scope system access to the minimum the administrative task requires.
- Emergency and urgent-symptom escalation rules must be defined by you in writing.
Healthcare Administration FAQs
Are you HIPAA compliant?
We will not claim a certification we do not hold, and HIPAA compliance is not a certificate anyone issues. If your engagement would involve protected health information, it requires a specific written arrangement including appropriate safeguards and, where applicable, a business associate agreement. Raise it early in scoping so we can be clear about what is and is not possible.
Can agents discuss test results or symptoms?
No. Agents handle administrative requests only. Anything clinical is routed to your staff immediately.
Can agents access our patient management system?
Only with a scoped account limited to the administrative functions required, and only under an arrangement that addresses the data involved.
