Privacy Policy

What we collect from visitors and enquiry forms, why, how long we keep it and how to ask us to change or delete it.

Scope

This policy covers the voicesupportcrew.com website and business enquiries made through it. It does not cover the processing we carry out on behalf of clients as part of a service engagement — in that arrangement the client is the controller of their own customer data and the terms are set out in the service agreement between us.

Who we are

VoiceSupportCrew operates this website. Full legal entity and registration details are available on request — we would rather tell you accurately when asked than publish details here that could become out of date. Use the contact form and we will provide them.

Website visitors

When you visit this site, our server records standard technical information as part of normal operation: the pages requested, the time of the request, the browser and operating system reported by your device, the referring page and the IP address the request came from. This is used to run and secure the site, and to understand which pages are useful.

Enquiry forms

When you submit the team builder, contact form or a template request, we collect the information you enter. Depending on the form that may include:

  • Your name, business email address and telephone number
  • Your company name, website and industry
  • Country and time zone
  • The services, team size, schedule and coverage you are interested in
  • Contact volume figures you choose to share
  • The software and tools your business uses
  • What you are trying to achieve, and anything else you write in the free-text fields
  • Any calculator estimate you carried into the form

We use this to prepare a response, produce a team recommendation and pricing estimate, and to contact you about your enquiry. We do not sell it, and we do not share it with third parties for their own marketing.

Live chat

If you use the chat widget on this site, we collect the messages you send, any name, email, phone number, company name or website you provide during the conversation, the page you started the chat from, the referring website, campaign parameters (see below), your IP address and browser user agent, and, if you choose to attach one, a file (images and PDFs only, size-limited).

A chat conversation is identified by a randomly generated visitor id stored in your browser's local storage, not by tracking you across other websites. Returning to the site in the same browser can restore your recent conversation; we do not let a conversation be retrieved by anyone who simply types a matching email address on a different device or browser.

Chat messages are used to respond to you, to follow up if you asked us to, and — if you or an agent chooses to — to create a sales lead record from the conversation. Internal notes agents add to a conversation are never shown to you and are not included if you request an emailed transcript.

Depending on how this deployment is configured, a message sent while no agent is available may trigger an internal notification by email, Telegram or WhatsApp to our team — these notifications go to our own staff, not to any third party outside our organization, and the underlying conversation data itself is stored in our own database, not with the notification provider.

Attribution and campaign data

Where you arrive through a marketing link, we record the campaign parameters in the URL (utm_source, utm_medium, utm_campaign, utm_term, utm_content), the page you first landed on and the referring website. These are stored temporarily in your browser's session storage and attached to any enquiry you submit, so we can tell which marketing activity is worth continuing. This information is cleared when you close the browser tab, or when you submit an enquiry.

Cookies and similar technologies

This site uses:

  • Session storage for campaign attribution, as described above. This is not a cookie and is not sent to our server until you submit a form.
  • An authentication cookie if you sign in to the administrative area. This is used only by our own staff and is not set for ordinary visitors.
  • Analytics cookies, only where analytics is configured for this deployment. See the section below.
  • A chat visitor id, stored in your browser's local storage (not a cookie) so a chat conversation can be restored on your next visit in the same browser. It contains no personal information itself.
  • A chat agent session cookie, used only by our own staff signed in to the chat agent console.

You can block or delete cookies through your browser settings. Doing so does not prevent you from using this site.

Analytics

No third-party analytics or advertising tools are currently loaded on this site. The site is built so that analytics tags are only injected when explicitly configured — if none are configured, none are served, and no third-party tracking scripts run.

If analytics is enabled in future, this section will list the specific tools in use.

Business information

Information you provide about your business — volumes, tools, processes and pain points — is used to prepare your recommendation and estimate. It is treated as commercially confidential and is not shared outside the people working on your enquiry.

Data retention

  • Enquiries that do not become clients: retained while there is a reasonable prospect of the conversation continuing, and reviewed periodically. You can ask us to delete yours sooner.
  • Enquiries that become clients: retained for the duration of the engagement and afterwards as required for legal, tax and accounting purposes.
  • Server logs: retained for a short period for operational and security purposes.
  • Attribution data: held in your browser session only, and attached to an enquiry if you submit one.
  • Chat conversations: retained for the period configured for this deployment (a fixed number of days), reviewed periodically, and deletable or anonymizable on request or once the retention period passes.

Third-party providers

We use third parties to operate this site and respond to enquiries. Depending on configuration these may include a hosting provider, an email delivery provider for notification and confirmation emails, the analytics tools listed above where enabled, and — for live chat — Telegram and/or the Meta WhatsApp Cloud API where an administrator has configured internal offline-chat alerts through them. Providers process information only to deliver their service to us. The chat system itself (conversations, messages and agent accounts) is self-hosted in our own database, not outsourced to a third-party chat platform.

Details of the specific providers in use are available on request.

International visitors

We work with businesses in the United States, United Kingdom, Canada, Australia and internationally. Information you submit may be processed in a country other than the one you are in, including countries whose data protection regime differs from your own. By submitting an enquiry you understand that this may occur.

If you have specific requirements about where your information is processed, raise them before submitting anything sensitive and we will tell you honestly whether we can meet them.

Security

Enquiry data is stored on our systems with access limited to the people who need it. The site is served over HTTPS, form submissions are rate-limited, and the administrative area requires authentication and is disabled entirely unless credentials are configured.

No system is perfectly secure and we will not claim otherwise. Our security page describes our operating controls in more detail, including the certifications we do not hold.

Your rights

Depending on where you are, you may have rights to:

  • Ask what information we hold about you
  • Ask for a copy of it
  • Ask us to correct it if it is wrong
  • Ask us to delete it
  • Object to or restrict certain processing
  • Withdraw consent where consent was the basis for processing
  • Complain to the data protection authority in your country

To make a request, use the contact form. We will ask you to verify your identity before acting on a request about personal information, which protects you as much as us.

Children

This is a business-to-business website and is not directed at children. We do not knowingly collect information from anyone under 16.

Changes to this policy

We may update this policy as our practices or the applicable law change. The date at the top reflects the most recent revision. Material changes affecting how we use information already collected will be communicated to affected enquirers where we hold contact details for them.
